Privacy Policy

This Privacy Policy explains how OptimaSciences.ca (“OptimaSciences,” “we,” “us,” or “our”) collects, uses, discloses, and protects your personal information when you visit optimasciences.ca (the “Site”), place an order, or otherwise interact with us. We are committed to handling your personal information transparently and in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and Quebec’s Act respecting the protection of personal information in the private sector (the “Law 25” reforms), as applicable.

By using the Site or providing us with your personal information, you consent to the practices described in this Policy. If you do not agree with this Policy, please do not use the Site or provide us with your personal information.

1. Who we are

OptimaSciences is an online retailer of research peptides and related research-use-only compounds, operated by OptimaSciences Inc., a business based in Canada. Our products are sold and shipped domestically within Canada.

We are the organization responsible for the personal information collected through the Site. Our contact details, including the person responsible for the protection of personal information, are set out in the Contact us section below.

Our products are supplied strictly for laboratory and research use only. The Site and our products are intended for adults who have reached the age of majority in their province or territory of residence. This Policy concerns your privacy only; it does not describe the intended use of our products.

2. Personal information we collect

“Personal information” means information about an identifiable individual. Depending on how you interact with us, we may collect the following categories of personal information:

Information you provide to us

  • Identity and contact details — your name, email address, telephone number, and shipping and billing addresses.
  • Order information — the products you purchase, order value, order history, and any notes or instructions you provide with an order.
  • Account information — if you create an account, your username, password, and saved preferences or addresses.
  • Communications — the content of messages, questions, reviews, or support requests you send us, and our responses.

Payment information

When you pay for an order, your payment is handled by third-party payment processors (for credit card, cryptocurrency, and Interac e-Transfer payments). We do not collect or store your full payment card number or complete cryptocurrency wallet credentials on our own systems. We receive limited transaction information from these processors, such as confirmation that a payment succeeded, the payment method type, and billing details necessary to complete and record your order.

Information we collect automatically

  • Device and technical data — your IP address, browser type and version, device type, operating system, language settings, and referring website.
  • Usage data — pages you view, products you browse, links you click, the dates and times of your visits, and how you navigate the Site.
  • Cookies and similar technologies — identifiers set through cookies, pixels, and tags, as described in the Cookies section below.

3. How we collect it

We collect personal information: (a) directly from you, when you place an order, create an account, contact us, subscribe to communications, or otherwise interact with the Site; (b) automatically, through cookies and similar technologies as you use the Site; and (c) from third parties who help us operate our business, such as our payment processors, shipping carriers, and advertising and analytics partners, who may share information with us in connection with the services they provide.

4. Cookies & tracking technologies

The Site uses cookies and similar technologies (such as pixels and tags) to operate, secure, and improve the Site, and to measure and deliver advertising. Cookies are small files stored on your device. We use the following broad categories:

  • Strictly necessary — required for the Site to function, including maintaining your shopping cart, enabling checkout, and keeping the Site secure. These cannot be switched off through our systems.
  • Functional — remember your preferences and choices to improve your experience.
  • Analytics / performance — help us understand how visitors use the Site so we can improve it.
  • Advertising — set by us and by our advertising and social media partners to measure campaigns and to show you relevant advertising on other platforms (including “retargeting”). These technologies may collect information about your activity on the Site and across other sites over time.

Managing your choices. Most browsers let you refuse or delete cookies through their settings, and you can usually opt out of interest-based advertising through the tools offered by the relevant advertising platforms. You can also adjust the tracking preferences we make available on the Site where offered. Please note that disabling certain cookies may affect how the Site functions. Where required by law, we ask for your consent before using non-essential cookies and tracking technologies, and you may withdraw that consent at any time.

5.How we use your information

We use personal information for the following purposes:

  • To process and fulfil your orders — including taking payment, packing, shipping, providing tracking, handling returns, and communicating with you about your order.
  • To manage your account — creating and maintaining your account and saved preferences.
  • To provide customer support — responding to your questions, requests, and feedback.
  • To operate, secure, and improve the Site — including troubleshooting, analytics, and protecting against fraud, abuse, and unauthorized activity.
  • For marketing and advertising — where permitted, to send you offers and updates, to measure the effectiveness of our advertising, and to deliver relevant advertising (see the Marketing section).
  • To meet legal and regulatory obligations — including tax, accounting, record-keeping, and responding to lawful requests from authorities.

We will not use your personal information for a materially new purpose without obtaining your consent, unless permitted or required by law.

7. How we share information

We do not sell your personal information. We share personal information only as described below, and only to the extent necessary:

  • Service providers — we share information with third parties that perform services on our behalf, described here by category: payment processors; shipping, logistics, and postal or courier carriers; website hosting and IT service providers; email, messaging, and communications providers; and advertising, social media, and analytics partners. These providers are authorized to use your personal information only as necessary to provide services to us.
  • Legal and regulatory disclosures — we may disclose personal information where required or permitted by law, to comply with a legal obligation, court order, or lawful request, or to protect our rights, property, safety, or that of others, and to prevent fraud or other unlawful activity.
  • Business transfers — if we are involved in a merger, acquisition, financing, reorganization, or sale of assets, personal information may be transferred as part of that transaction, subject to appropriate confidentiality protections.
  • With your consent — we may share personal information for any other purpose disclosed to you at the time we collect it, or with your consent.

8. Storage & cross-border transfers

Some of our service providers, and the systems we use to operate the Site, may store or process personal information outside your province of residence or outside Canada, including in the United States. When personal information is handled in another jurisdiction, it is subject to the laws of that jurisdiction, and may be accessible to courts, law enforcement, and regulatory authorities there.

When we transfer personal information to a service provider, whether in Canada or abroad, we take reasonable steps to ensure it is protected by comparable safeguards through contractual and other means. If you have questions about where your personal information is handled, please contact us using the details below.

9. How long we keep it

We retain personal information only for as long as necessary to fulfil the purposes for which it was collected, including to provide our products and services, and to satisfy our legal, tax, accounting, and reporting obligations. Order and transaction records, for example, are kept for the period required by applicable law. When personal information is no longer needed, we take reasonable steps to securely destroy, erase, or anonymize it.

10. How we protect it

We maintain physical, technical, and organizational safeguards designed to protect personal information against loss, theft, and unauthorized access, disclosure, copying, use, or modification. These measures include encryption of data in transit (for example, SSL/TLS on the Site), restricted access on a need-to-know basis, and the use of reputable service providers. Please be aware that no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your account password confidential.

11. Your privacy rights

Subject to applicable law, you have the right to:

  • Access the personal information we hold about you and be informed of how it has been used and disclosed.
  • Correct or update personal information that is inaccurate, incomplete, or out of date.
  • Withdraw consent to our collection, use, or disclosure of your personal information, subject to legal or contractual restrictions.
  • Request deletion of your personal information, where we are not required or permitted to retain it.
  • Opt out of marketing communications at any time.

If you are a Quebec resident, you also have additional rights under Law 25, which may include the right to request that we stop disseminating your personal information or de-index certain information in defined circumstances, and to receive certain computerized personal information in a structured, commonly used technological format (data portability).

To exercise any of these rights, contact us using the details in the Contact us section. We will respond within the timeframe required by law (generally within 30 days). We may need to verify your identity before acting on your request, and some rights are subject to legal exceptions.

12. Marketing & email communications

With your consent, and in accordance with Canada’s Anti-Spam Legislation (CASL), we may send you commercial electronic messages such as newsletters, promotions, and product updates. Every marketing email includes an unsubscribe link, and you can opt out at any time by using that link or by contacting us at admin@optimasciences.ca. We may still send you non-marketing messages that are necessary to complete or support a transaction you have made, such as order confirmations and shipping notifications.

14. Age & children

The Site is intended for adults who have reached the age of majority in their province or territory of residence. We do not knowingly collect personal information from anyone under the age of majority. If you believe we have inadvertently collected personal information from a minor, please contact us and we will take reasonable steps to delete it.

15. Changes to this Policy

We may update this Policy from time to time to reflect changes in our practices, technology, legal requirements, or for other operational reasons. When we make material changes, we will update the “Last updated” date at the top of this Policy and, where appropriate, provide additional notice. We encourage you to review this Policy periodically. Your continued use of the Site after changes take effect constitutes your acceptance of the revised Policy.
